Training completion vs. competency: what should you track?

A completion record shows that a defined training requirement was marked complete. Competency evidence addresses whether someone can apply the relevant knowledge or skill. Keep those claims separate when planning staff training.

Specify what “complete” means
Decide whether completion requires attendance, viewing material, a knowledge check, an applied task, or a combination. Define the passing criteria and what happens when a learner needs another attempt or additional support.
Record these rules before launch. Otherwise different supervisors may use the same status label to mean different things.
Keep a useful record
A training record can identify the learner, course or session, version, completion date, completion rule, and applicable follow-up. Confirm retention and access requirements through your organization’s policies and the engagement scope. Gather only the information needed for the intended record.
Connect learning to the work
Use a realistic scenario and ask the learner to explain the next step. Provide feedback and a route to the current procedure. Where appropriate, plan a later supervisor check to see whether the process is being applied.
For example, an illustrative onboarding exercise might ask staff to find the correct escalation contact in an approved procedure. The exercise checks navigation and decision-making; it should not be described as proof of compliance with every applicable requirement.
Questions to resolve with a training provider
- What exactly must learners do to complete the training?
- What evidence will be retained and who can access it?
- Who approves the content and assessment?
- How are updates and repeat training handled?
- Are any credentials offered, and what do they actually represent?
